Media & Photography Policy

Yes Chef Hospitality

Last updated: 26 December 2025

This Media & Photography Policy explains how photographs, video recordings, and other media content may be captured, used, stored, and shared in connection with catered events. It also outlines the rights and responsibilities of both Yes Chef Hospitality and our clients in relation to media usage.

This policy is intended to provide transparency, protect privacy, and ensure that media content is handled respectfully and responsibly across all events.

1. Purpose of This Policy

As a professional catering business, we may document aspects of our work for operational, quality, and marketing purposes. This may include photographs or video footage of food presentation, event setups, equipment, or service environments.

This policy explains:

  • What types of media may be captured
  • How media may be used
  • When consent is required
  • How privacy is protected
  • How clients can request restrictions or removal

This policy should be read alongside our terms & conditions, which govern the overall service relationship.

2. Types of Media We May Capture

Media captured in connection with an event may include:

  • Photographs of food, menus, and plated dishes
  • Images of catering setups, service stations, and equipment
  • Wide-angle images of event spaces or venues
  • Short video clips showing food preparation or service activity

The focus of such media is typically on the catering service itself, rather than on individual guests.

3. Media That We Do Not Intentionally Capture

We do not intentionally capture:

  • Close-up images of guests without consent
  • Images focused on children
  • Sensitive personal moments
  • Images intended to identify individual guests

If guests appear incidentally in background images (for example, in a wide venue shot), we take reasonable care to ensure images are respectful and non-intrusive.

4. Purpose of Media Use

Media content may be used for the following purposes:

  • Showcasing food presentation and catering standards
  • Demonstrating event styling and service quality
  • Website content and portfolios
  • Social media posts and marketing materials
  • Internal training or quality review

Media is never sold to third parties and is not used for unrelated advertising.

5. Consent & Client Preferences

5.1 General consent

Unless otherwise agreed, clients acknowledge that limited, non-intrusive media may be captured during an event for professional purposes.

5.2 Opt-out requests

Clients may request that no photography or video is taken at their event. This request must be communicated clearly in advance.

5.3 Specific restrictions

Clients may also request:

  • No images showing guests
  • No social media usage
  • Use limited to food-only imagery

We will make reasonable efforts to respect all clearly communicated preferences.

If you have specific concerns or requests, please discuss them with us in advance using our event catering contact information.

6. Guest Awareness & Responsibility

Where appropriate, clients are encouraged to:

  • Inform guests that media may be captured
  • Advise guests to speak with our team if they have concerns
  • Manage guest expectations at private or sensitive events

Once guests are present at an event, responsibility for guest consent and communication rests primarily with the client.

7. Relationship to Food Safety & Service Operations

Media capture will never interfere with food safety procedures or service delivery.

Our food handling standards remain the priority at all times, in line with our allergen and food safety practices. Photography or filming will not take place in a way that compromises hygiene, cleanliness, or allergen control.

For full details on how food safety is managed, please refer to our allergen and food safety policy.

8. Third-Party Media & Client Photographers

Many events involve third-party photographers or videographers appointed by the client.

Where third-party media teams are present:

  • We are not responsible for how they capture or use images
  • We do not control their data handling or consent processes
  • We request that they respect our staff, equipment, and food safety procedures

Any restrictions on third-party media must be managed directly by the client.

9. Ownership & Intellectual Property

All media captured by Yes Chef Hospitality remains our intellectual property unless otherwise agreed in writing.

This includes:

  • Photographs
  • Video clips
  • Edited media content

Clients may not reproduce, edit, or redistribute our media without permission.

10. Requests for Media Removal

We respect privacy concerns and will consider reasonable requests to remove media content.

Requests for removal should:

  • Be made in writing
  • Clearly identify the media in question
  • Explain the reason for the request

We aim to respond promptly and handle all requests fairly.

11. Data Protection & Privacy Considerations

Where media contains personal data (such as identifiable individuals), it is handled in accordance with UK data protection requirements.

We:

  • Limit access to stored media
  • Use secure systems for storage
  • Do not retain media longer than necessary

For more information about how personal data is handled, please refer to our Terms & Conditions and related privacy documentation.

12. Special Events & Sensitive Occasions

For private, sensitive, or formal events:

  • We may avoid media capture entirely unless permission is explicitly given
  • We will follow client guidance regarding discretion and privacy

If an event requires strict confidentiality, this must be agreed in advance.

13. Changes to This Policy

This policy may be updated periodically to reflect:

  • Changes in law or guidance
  • Updates to business practices
  • New communication or media channels

The most recent version will always be published on this page.
