Yes Chef Hospitality (UK Catering Services)

These Terms & Conditions set out the agreement between Yes Chef Hospitality (“we”, “us”, “our”) and the person or organisation making a booking (“you”, “your”, “Client”). They apply to all catering services we provide, including wedding catering, corporate catering, private party catering, BBQ catering, on-site chef services, and associated event services in Bournemouth, Dorset, and the Cotswolds.

By accepting a quotation, paying a deposit, or confirming a booking in writing, you agree to these Terms & Conditions.

1. Definitions 

    • Booking: Your confirmed order for catering services on a specific date.

    • Event: The function you are booking us to cater.

    • Services: Catering, food preparation, staff, equipment, set-up, service, and agreed deliverables.

    • Venue / Location: Where the Event takes place.

    • Quote / Quotation: Our written pricing based on the details you provide.

    • Deposit: The upfront payment required to secure your date.

    • Final Numbers: The confirmed guest count used for purchasing, staffing, and final billing.

    • Special Requirements: Dietary requirements, allergies, intolerances, religious/ethical preferences, access needs, timing constraints, or venue restrictions.

2. Who We Are

Yes Chef Hospitality is a Bournemouth-based catering business providing fully managed event catering, including live BBQ catering, bespoke menus, on-site chefs, and full-service event delivery across Bournemouth, wider Dorset, and the Cotswolds.

3. Service Types We Provide

Your Quote will specify the Service Type(s) you have booked, such as:

3.1 Fully Managed / Staffed Catering

Includes on-site setup, food preparation, service staff (where agreed), and end-of-service clear-down.

3.2 BBQ & Outdoor Catering

Includes live outdoor cooking equipment and on-site chef service, subject to venue access and safe operating conditions.

3.3 Drop-Off Catering (If Quoted)

Delivery of prepared food to your Venue, with handling responsibility transferring as described in Section 12.

Important: Only the Services specifically listed in your Quote are included. Anything not listed is not included unless agreed in writing.

4. Quotes, Menu Choices & Pricing

4.1 Quotes

Quotes are based on the information you provide at the time (date, guest numbers, service style, venue, timings, staffing, equipment, and menu scope).

4.2 Per-person pricing

If your Quote is based on per-person pricing, the final total will be calculated from Final Numbers.

4.3 Menu availability and substitutions

We use fresh ingredients and seasonal produce. If an ingredient becomes unavailable, we may propose a suitable replacement of equal quality. We will always aim to keep the menu aligned with your event plan.

4.4 Supplier-led price changes (fair approach)

In rare cases, significant supplier cost increases may affect future events booked far in advance. If this occurs, we will notify you as soon as possible and explain the change before we proceed.

5. Provisional Bookings & How Your Date Is Secured

A date is only secured once we receive:

    1. written confirmation of acceptance (email is fine), and

    1. the required Deposit.

If we have provisionally held your date, we may release it if the Deposit is not received within the timeframe stated on your Quote or booking email.

6. Deposits & Payment Terms

6.1 Deposit

Deposits are typically non-refundable because we reserve the date, begin planning, and may secure staffing and suppliers.

The Deposit amount and due date will be stated in your Quote/invoice.

6.2 Final balance

Unless your Quote states otherwise, the remaining balance must be paid by the due date shown on your invoice (commonly prior to the Event to allow purchasing and staffing).

6.3 Payment method

Accepted payment methods will be stated on your invoice.

6.4 Late payment

Late payment may:

    • delay ordering produce and securing staff, and/or

    • result in cancellation of the Booking if payment is not received by the required date.

7. Final Details, Deadlines & Changes

7.1 Final details we require

To deliver a safe, smooth service, we will request:

    • Final Numbers

    • dietary/allergy list (see Section 11)

    • menu confirmations

    • timeline of the day

    • venue access details (loading, parking, restrictions)

    • key contact on-site

7.2 Changes and “variations”

Changes after Final Numbers are submitted may not be possible. If they are possible, they may result in additional charges for ingredients, staffing, equipment, or logistics.

7.3 Reductions in numbers

Because we purchase and schedule based on Final Numbers, reductions after the Final Numbers deadline may not reduce the invoice total.

8. Minimum Numbers (If Applicable)

Some service styles (especially staffed service and certain menus) may have minimum guest numbers. If your Event falls below minimums, we may apply a minimum-charge threshold stated in your Quote.

9. Additional Meals for Suppliers & Crew

Meals for photographers, videographers, musicians, planners, venue staff, child minders, or other contractors are not included unless specified.

If you want us to cater additional meals for suppliers, these must be requested in advance and will be charged accordingly.

10. Venue Requirements & Client Responsibilities

You are responsible for ensuring the Venue allows catering operations and that we can deliver safely.

10.1 Access and setup

You must provide:

    • reasonable access for loading/unloading

    • a safe working area

    • the ability for our team to enter/exit without unreasonable restriction

    • parking access or permits where required

10.2 Utilities (where needed)

Depending on the Service Type, we may require:

    • access to clean water

    • handwashing facilities

    • power supply (where equipment requires it)

    • waste disposal arrangements

If the Venue cannot provide agreed requirements, we may:

    • adjust the service plan,

    • charge for additional equipment/time, or


    • in rare cases, be unable to deliver the Service safely.

11. Allergies, Dietary Requirements & Food Safety (UK Catering Standard)

11.1 Your responsibility to tell us

You must notify us of:

    • allergies and intolerances

    • dietary requirements (e.g., vegetarian, vegan, gluten-free)

    • religious/ethical preferences (e.g., halal)

We require this information in writing by the deadline we request.

11.2 Cross-contamination

We take allergen management seriously, but we cannot guarantee a completely allergen-free environment because ingredients may be processed in facilities handling allergens.

11.3 Buffet and guest behaviour

At buffets or shared service styles, guests may inadvertently mix serving utensils or swap plates. We cannot control guest handling of food once service begins.

12. Drop-Off Catering: Transfer of Responsibility

If your booking is delivery/drop-off (no staffed service):

    • responsibility for safe storage, temperature control, reheating, and serving transfers to you once delivered (or once our team departs).

    • we will provide handling guidance where appropriate.

13. Leftovers, Waste & End-of-Service Clear Down

Your Quote will state what end-of-service actions are included (e.g., clearing, packing down, removal of equipment).

Unless agreed otherwise:

    • we may remove and dispose of leftover food to comply with food hygiene practices; or

    • leftover handling may transfer to you if you request to retain food, subject to food safety considerations.

14. Client-Supplied Food & Drink

If you supply any food or drink:

    • you are responsible for its provenance, storage, and safety prior to our handling.

    • we reserve the right not to serve items that appear unsafe, contaminated, or not stored correctly.

15. Equipment, Damage, Loss & Breakages

If we supply equipment (servingware, cookware, BBQ equipment, utensils, linens, etc.), you are responsible for reasonable care of that equipment during the Event.

We may charge for loss, breakage, or damage caused by:

    • the Client, guests, or third parties at the Event.

We will notify you of any such costs within a reasonable period after the Event, once inventories are checked.

16. Health, Safety & Behaviour

We have a duty to protect our staff and clients.

We may pause or withdraw service if:

    • staff are threatened or abused,

    • unsafe conditions exist (including unsafe weather for BBQ operations),

    • venue rules create unsafe working conditions,

    • illegal activity occurs.

Where service is withdrawn due to client/guest conduct or unsafe conditions beyond our control, refunds may not be payable.

17. Outdoor Events, BBQ Catering & Weather

For outdoor and BBQ events, you must provide:

    • a safe, stable setup area

    • adequate shelter or contingency where required

    • compliance with venue and fire safety rules

If weather conditions make BBQ cooking unsafe (high wind, extreme weather warnings, unsafe ground conditions), we will work with you to:

    • adjust the setup,

    • change the cooking method where possible, or

    • modify service delivery to maintain safety.

18. Cancellations by the Client

18.1 Cancellation notice

Cancellations must be provided in writing.

18.2 Cancellation charges

Because we reserve the date and may incur supplier/staff costs, cancellation charges may apply. These will be outlined in your Quote/invoice or booking confirmation.

If your booking has special cancellation terms (common for weddings and large events), those written terms will take precedence over general terms.

19. Cancellations by Us

We rarely cancel. If we must cancel due to circumstances beyond our reasonable control (see Force Majeure), we will:

    • notify you as soon as possible, and

    • refund payments received minus any non-recoverable costs already committed specifically for your Event (e.g., non-refundable supplier deposits), where applicable and evidenced.

20. Force Majeure 

We are not liable for failure or delay caused by events outside our control, including (but not limited to):

    • extreme weather, flooding, fire

    • transport disruption

    • supplier failure

    • venue closure

    • power outage

    • strikes or labour disputes

    • government restrictions or emergency measures

Where possible, we will attempt to provide an alternative solution. If not possible, we will follow Section 19.

21. Liability & Insurance 

We will provide Services with reasonable care and skill in line with UK catering industry standards.

We are not responsible for:

    • venue failures (power/water/access limitations),

    • guest behaviour or mishandling of food,

    • loss/damage to client property (gifts, décor) unless caused by our negligence.

Our total liability to you is limited to the total amount paid for the Services, except where the law requires otherwise.

22. Marketing, Photography & Testimonials

We may request permission to:

    • photograph food, setups, and events

    • use testimonials or reviews

We will not use identifiable client images for marketing without consent.

23. Data Protection & Privacy

We handle personal data in accordance with our Privacy Policy. Event details and dietary or allergy information are collected and used solely for the purpose of delivering catering services safely and effectively.

24. Governing Law & Disputes

These Terms & Conditions are governed by UK’s law.

If a dispute arises, we encourage resolving it quickly through written communication first. If required, disputes will be handled by the courts of England and Wales.

Booking Acceptance 

A booking is confirmed when you accept the Quote in writing and pay the required Deposit (or otherwise confirm in writing as agreed). Once confirmed, these Terms & Conditions apply.
